How to Rent with Thermal InMotion

Step 1: Contact Thermal InMotion

Call us at 717-881-5000 to discuss your boiler rental needs. We’ll gather key details including capacity, site space, fuel type, timeline, equipment specs, and connection sizes to match you with the right system.

Step 2: Proposal

We will submit a detailed proposal to you that covers equipment specifications, rental duration, freight and logistics, scope of services, and estimated costs.

Step 3: Paperwork, Payment & Scheduling

Once the rental agreement is signed, you will receive an invoice for the deposit, rental fee, and freight. Then we’ll schedule delivery upon payment, and assign a dedicated point of contact.

Step 4: Delivery, Setup & Commissioning

The customer is responsible for their own installation. Our consulting support for startup and commissioning is included in your agreement. Installation support is also available in select areas through our contracting division, CSI Services.

Step 5: Ongoing Maintenance & Repair

Thermal InMotion provides consulting support and covers parts associated with normal wear and tear. Maintenance and repair during the rental term are the customer’s responsibility, or CSI Services can handle them for an additional fee.

 

Step 6: Return & Inspection

When the rental returns, we will complete a check in inspection for damage. If no repairs are needed, the rental process is complete and the security deposit is returned.

Thermal InMotion provides scheduled rental boiler systems that let you maintain productivity while completing necessary upgrades or repairs, including expansion projects, seasonal demand, planned maintenance and inspections, or avoiding a full production shutdown.

Dealing with an emergency or planned events is more than making a list of equipment that you need to rent to keep your facility up and running. Mobilization costs for the placement, setup, and tear down of temporary rental systems are high.

Proactively identifying risks and making sure necessary connections are in place so temporary equipment can be connected to utilities and the system quickly are essential to limiting downtime, lost production, managing expenses and staying compliant.

Frequently Asked Questions

What is the minimum rental period?

Our rental equipment is rented in 28-day billing periods. The rental period begins when the equipment ships from a Thermal InMotion storage location and ends when it is returned. After the initial rental period, rentals automatically renew until the equipment is returned. Partial final periods are prorated on a weekly basis.

What costs are included in the rental rate?

The rental rate covers the use of the equipment during the rental period. Customers are typically responsible for freight, installation, permits, utilities, fuel, water treatment, taxes, operation, maintenance, and site access unless otherwise specified in the rental agreement.

Is a security deposit required?

Yes. Most rentals require a refundable security deposit before shipment. Once the equipment is returned and inspected, the deposit is refunded provided there is no damage beyond normal wear and tear. If repairs are required, the deposit may be applied toward those costs.

What insurance coverage is required?

Customers are required to maintain liability and property insurance during the rental period and name Thermal InMotion as an additional insured. Coverage requirements will be outlined in the rental agreement and Schedule A.

Who is responsible for operating and maintaining the equipment?

Customers are responsible for operating the equipment using qualified personnel and following manufacturer recommendations. Customers are also responsible for routine operation, water treatment, weather protection, and day-to-day maintenance unless service has been separately contracted.

What should I do if the rental equipment experiences a problem?

If an issue occurs, we recommend first contacting your maintenance staff or service contractor to evaluate the problem. Thermal InMotion provides consultation and technical support, and replacement parts for normal wear and tear can be supplied when needed. Additional field service may be available through CSI Services or qualified local contractors depending on location.

Can Thermal InMotion provide installation, startup, and maintenance services?

Yes. In many cases Thermal InMotion, through CSI Services, can provide startup assistance, maintenance, troubleshooting, and ongoing service support. Service availability depends on the geographic location of the rental and the scope of services agreed upon before the rental begins.

What do I need to provide before the equipment ships?

Prior to shipment, customers must provide a purchase order, signed rental agreement, signed Schedule A, certificate of insurance, security deposit, first rental payment, and applicable freight charges. Once these items are received, shipment can be scheduled.
